  • Associates degree, currently enrolled in BA program OR a high diploma with 15 years of experience;
  • Two (2) years of work experience in general secretarial or administrative duties;
  • Type 50-60 WPM;
  • Advanced level proficiency in Microsoft Office programs;
  • Excellent verbal and written communication skills;
  • Attention to detail, organizational skills and ability to perform competently in high stress situations;
  • Competency working with data and private information;
  • Plan, prioritize and organize diversified workload using independent judgement;
  • Professional, collaborative and courteous communication, oral and written, at all levels.

Responsibilities:

The Administrative Assistant will demonstrate a high level of technical skills. Under the direct supervision of the Lead Administrative Assistant this position provides administrative and secretarial support for the Head Start and Early Head Start departments.

 

  • Perform general office duties and provide routine administrative support to the management staff;
  • Produce documents by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics;
  • Demonstrated competency at advanced levels in Microsoft Office programs;
  • Work in collaboration with the receptionist and administrative assistants to cover the main phone, direct inquiries, greet guests, customers and co-workers;
  • Respond to non-routine daily requests from management team;
  • Prepare and assemble highly confidential and sensitive information;
  • Facilitate special projects which may include: planning and coordinating meetings, disseminating information, creating presentations;
  • Assist with event planning and scheduling as needed;
  • Prepare agendas, supporting documentation, to ensure timely distribution of materials for scheduled meetings;
  • Write, record and transcribe minutes from Policy Council meetings;
  • Support CCA procurement, reimbursement and fiscal policies and procedures;
  • Process purchase requests, and order/distribute office supplies for the program;
  • Maintain administrative files and/or program files accurately.
  • Assist in preparing program reports and providing program data with accuracy and in a timely manner;
  • Assist in preparing grant proposals and other program documents with accuracy;
  • Demonstrate competency in equipment policies and procedures;
  • Assess and convey program problems and refer appropriately to obtain needed solutions;
  • Maintain confidentiality of sensitive information and promote the mission of Child Care Associates;
  • Other related duties as assigned.
